What Accounting Software do we use?

xero-certified-advisor-badge-computerised-software-integrated-software-solutions-Perfect-Sums-Bookkeeping

Xero is designed for small to medium size businesses. You can manage your cash flow and link your bank to the software for up-to-date information. It suits many businesses as its “real time” reporting ‘on the go’ gives owners the information they need at the touch of a button.

You can access Xero online or via their app, which means you can use it from your mobile phone.

There are many app ‘add-ons’ for Xero that helps with many additional services and integrations that businesses find they may need, such as staff rotas, budget planning, credit control…the list goes on.

Quickbooks-certified-advisor-badge-computerised-software-integrated-software-solutions-Perfect-Sums-Bookkeeping

QuickBooks is designed for small businesses or the self-employed.

QuickBooks can track mileage and expenses using their app. The Self-Employed package even prepares a real time self-assessment report, so you can see what your tax liability is during the year (assuming the data is up to date and input correctly) so you can be ready for submission.

Like Xero, you can create real time reports, link your bank feeds, automate receipt, and set up re-occurring invoicing.

There is an app available, but we feel it’s much more limited and some data is best viewed from the website.

However, QuickBooks is still very user friendly especially for the sole trader, there are apps you can add on and it comes in at a very reasonable price.

Sage have recently released their version of cloud accounting; this is different to the Sage line 50 cloud that they previously had. Sage Cloud Accounting is fully on the cloud, much like QuickBooks and Xero.

It has all the functions you would expect but is limited in terms of app integrations and reports. Although as Sage has been an industry leader for many years, we are sure that new developments on their software will be released to make this stand out in the cloud software world.

We do however offer Sage Line 50, which is desktop based but with some cloud functionality. Sage has many reports and functions and is suitable for small businesses and large organizations because of the data it can handle and the reports it can produce.

What is Dext?

Dext allows you to easily collect all the receipts and invoices, scan them, extract the data, and put straight into your accounting software.

No matter how a receipt or invoice arrives, Dext can process the data so you don’t have to.

Dext is compatible with all main accounting software providers, such as Xero, QuickBooks and Sage.

Dext uses OCR reader to extract key information from receipts, invoices, bank statements or other financial documents. The automated extraction will identify data such as supplier, date, invoice reference and tax values. It is then ready for downloading or processing onwards to your connected accounting software!

There is a variety of methods you can use to capture and upload your receipts

  • Download the free app and take photos of the receipts using the camera.
  • Forward invoices received via email straight to Dext, the email address will be “solely” yours so you can even pass this onto suppliers to save you even more time.
  • Scan the receipts in bulk and attach a single PDF for Dext to process.
  • Automatically download recurring bills and invoices from supplier websites.
  • You can set up rules within the app for recurring purchases which means that after the initial set up, you will hardly need to touch Dext as things will automatically publish to your accounting software, streamlining the whole bookkeeping process.

An image of the document and its data is attached to the transaction within your accounting software and will also be held by Dext for a minimum of 10 years which meets HMRC’s document retention policies.

Best of all feel free to throw away that receipt as Dext will always have your compliance-covered!!!

Additionally, Dext has the same functions for your sales invoices if they have not been raised in your accounting software – win win.
